Feature Introduction

GTG CRM has long been strong for selling products: product catalog, inventory, orders, invoices. But if you sell services — agencies, consulting, spas/clinics, freelancers, B2B providers — you previously had to "workaround": create services as dummy products with no inventory, and no real contracts (only quotes, no signatures, no parties, no payment schedules).

From today, GTG CRM supports selling services as a first-class citizen: a Catalog containing both products and services, mixed quotes (one quote for both products and services), and real Contracts — with Party B, acceptance milestones, bilingual, send & sign, then issue periodic invoices → automatically generate accounting entries.

Service and Contract Selling Overview

Problems Businesses Face

Old MethodConsequences
Services must be created as "dummy products with no inventory"Confused catalog, incorrect inventory logic
One quote for products, a separate contract for servicesTwo documents, two creation processes
No contracts with Party B / acceptance milestonesDifficult to enforce, hard to conduct phased acceptance
Word contracts + payment tracking on ExcelMissed payment installments, unknown outstanding amounts
Manual revenue entry after signingForgot to issue invoices, forgot to book entries

GTG CRM connects a single flow: services → mixed quotes → contracts → send & sign → periodic invoices → revenue entries & payments — no workarounds, no double data entry.

Highlights

1. One Catalog for Both Products and Services

Catalog includes Products and Services
  • In the CRM → Catalog menu: Products, Services, Appointments — where you define "what you sell", grouped under a single heading.
  • Services have prices and billing cycles: one-time or recurring (monthly…). Products can also be recurring subscriptions.
  • This same unified list is used by the quote/contract line item selector — choose both products and services from one place.

2. Mixed Quotes — One Quote, Both Products and Services

Mixed Product and Service Quote
  • Add line items of type Service (e.g., "Website Design", "Monthly SEO") and type Product (e.g., "Hosting License" × 3) within the same quote.
  • Each line has a Type tag (Service = green, Product = blue); service lines display the billing cycle.
  • Quote statuses: DRAFT → SENT → ACCEPTED; when Accepted, a Convert to Contract button appears.

3. Real Contracts — Party B, Acceptance, Bilingual

Contract details with Party B and acceptance milestones
  • Convert to Contract retains line item types/cycles; totals are broken down into one-time totals and monthly totals + VAT.
  • Party B can be an individual or a company; information (legal name, tax ID, address, representative) can be auto-filled if company data exists — thanks to the company information enrichment feature.
  • Acceptance Milestones set during contract creation, driving the payment schedule.
  • Bilingual contracts (up to 2 languages) + emails in the chosen language, with branding.
  • Contracts can also include direct product line items (without going through a quote) — a single contract can contain both products and services.

4. Send → Sign → Issue Periodic Invoices

Send contract, download signed copy, issue invoice

A practical, legally compliant signing process:

  1. Send to Customer: the system renders the contract in Word (.docx) format (editable/negotiable) and emails it to the customer. Status changes from DRAFT → SENT.
  2. Customer signs offline (paper/soft copy) and sends it back.
  3. Upload Signed Copy: attach the signed file (stored in the system) → record signer and signing time. Status changes from SENT → SIGNED → ACTIVE.
  4. Issue Periodic Invoices: for each payment installment, view the invoice preview → confirm → issue the invoice through your existing ERP/billing integration.
ℹ️ Note: Issuing invoices requires a workspace connected to an e-invoicing solution / tax provider. The entire workflow of creating services, quotes, contracts, sending & downloading signed copies works normally; only the invoice issuance step requires this connection.

5. Invoices → Automated Accounting Entries

Contract revenue entries in the ledger
  • A signed contract is a commitment, not yet a financial transaction — so it does not generate entries upon signing.
  • Entries are created upon issuing an invoice: Debit Accounts Receivable (131) / Credit Revenue (511) / Credit VAT (3331) — processed through the existing automated invoice accounting engine.
  • Upon receiving payment: Debit Cash (111/112) / Credit Accounts Receivable (131).
The entire process reuses your existing automated accounting engine — no "custom" GL codes, your workflow is owned and customizable.
