CRM (Customer Relationship Management) in GTG CRM helps businesses store, manage, and track all customer information from various channels, consolidating it onto a single platform. Now you can also analyze both customer contacts and companies directly within CRM, view the entire interaction history on a timeline, and identify the next best actions — no need to export to Excel.
Why You Need CRM
The Current Business Landscape
In business, customer data is often scattered:
- Facebook: customers messaging via Messenger
- Zalo: customers chatting via Zalo OA
- Email: customers sending emails for information
- Landing Page: customers filling out registration forms
Problems with Using Excel
| Old Method | Consequences |
|---|---|
| Manually entering customer data into Excel | Time-consuming, prone to errors |
| Each employee has their own file | Data is not synchronized, difficult to assign tasks |
| Counting metrics using spreadsheet formulas | No overall view, outdated data |
| No interaction history | Missed leads, duplicate customer care |
GTG CRM unifies everything into a single data source: customers automatically flow in from all channels, all interactions are recorded, and analytical data is always calculated on the entire actual dataset.
Customer Data Sources
CRM automatically collects customers from:
- Social Media — Facebook Messenger (customers messaging via Fanpage)
- Email — Gmail (customers sending emails to the business inbox)
- Landing Pages & Live Chat — registration forms, leaving information via Live Chat
- Manual Entry — creating contacts directly or importing CSV in bulk
Key Features
1. Centralized Contact List Management
View and manage all customers in one table: Name, Email, Phone Number, Country, Status (New, In Progress, Converted…), Customer Source, Assigned To.
- Customize displayed columns: add/remove columns (Products Purchased, Notes…), rearrange order.
- Advanced filters: filter by date, status, address/product/source, and combine multiple conditions.
- Assign owners: assign customers to individual employees, transfer when needed, and monitor workload.
- Automatic company classification: contacts with company domain emails are separated into the "Companies" list.
2. Contact & Company Analytics Tabs — accurate metrics on the entire dataset
On the Contacts and Companies menus, there are now Analytics tabs — a pre-built dashboard, calculated on the entire contact list (unlimited samples), updated in real-time.
- KPI Cards: Total Contacts · New this period (with trend ▲/▼ vs. previous period) · Active · Contactable Rate (has email/phone number).
- Lifecycle Funnel: see where customers are accumulating or dropping off — from potential to actual customers.
- Distribution by Source, Status, Assignee: know which channels bring in customers, who manages the most customers.
- Data Health: percentage of contacts with email / phone number / assignee / company.
- For Companies: distribution by industry, size, companies without attached contacts, and pipeline summary by company.
💡 The dashboard refreshes automatically — the top right corner shows "Auto · updated HH:MM", you don't need to reload the page to see new data.
3. Actionable Suggestions — turning data into tasks
The Analytics tab doesn't just display charts, it also suggests the next actions to take. Each suggestion includes a quantity and a button that leads directly to a pre-filtered list of that specific customer group.
- "Contacts missing phone number / email" → opens the correct group to add or import.
- "Inactive for > 30 days" → a group that needs re-engagement.
- "No assignee yet" → assign immediately.
- "Stuck in a lifecycle stage" → a group that needs a push.
4. 360° Activity Timeline
Each contact and company has an Activity tab displaying all related events on an easy-to-read timeline: calls, emails, deals, orders… along with the name of the person who performed the action (instead of cryptic identifiers) and a clear description of the action in your language.
- For companies: the timeline also rolls up activities of contacts, deals, and orders belonging to that company.
- At the list level: open the Activity tab to see a common feed of all contacts/companies, filter by person / action type / date.
5. Attach Files & Links to Tasks
Each Task in CRM can attach files from the Asset Manager (PDF, DOCX, XLSX, images, videos…) and external links (Google Sheets, Drive, Figma…). Opening a task shows all the necessary documents — no need to search elsewhere.
