CRM (Customer Relationship Management) in GTG CRM helps businesses store, manage, and track all customer information from various channels, consolidating them onto a single platform. Now you can also analyze both contacts and companies directly within the CRM, view complete interaction history on a timeline, and identify the next best actions — no need to export to Excel.

CRM Overview in GTG CRM

Why Do You Need CRM?

Current Business Landscape

In business, customer data is often scattered:

  • Facebook: customers message via Messenger
  • Zalo: customers chat via Zalo OA
  • Email: customers send emails for information
  • Landing Page: customers fill out registration forms

Problems with Using Excel

Old MethodConsequences
Manually entering customer data into ExcelTime-consuming, prone to errors
Each employee has a separate fileData not synchronized, difficult to assign tasks
Calculating metrics using spreadsheet formulasNo overall view, outdated data
No interaction historyMissed leads, duplicate follow-ups

GTG CRM consolidates everything into a single data source: customers automatically flow in from all channels, all interactions are recorded, and analytics are always calculated on the entire actual data.

Customer Data Sources

CRM automatically collects customers from:

  • Social Media — Facebook Messenger (customers message via Fanpage)
  • Email — Gmail (customers send emails to the business inbox)
  • Landing Pages & Live Chat — registration forms, leaving information via Live Chat
  • Manual Entry — create contacts directly or import CSV in bulk

Key Features

1. Centralized Contact List Management

View and manage all customers in one table: Name, Email, Phone Number, Country, Status (New, In Progress, Converted…), Customer Source, Assignee.

  • Customize displayed columns: add/remove columns (Products Purchased, Notes…), rearrange order.
  • Advanced filters: filter by date, status, address/product/source, and combine multiple conditions.
  • Assign assignees: assign contacts to each employee, transfer when needed, track workload.
  • Automatic Company Classification: contacts with company email domains are separated into the "Companies" list.

2. Contact & Company Analytics Tab — Accurate Metrics on All Data

On the Contacts and Companies menus, there is now an Analytics tab — a pre-built dashboard, calculated on all contacts (unlimited samples), updated in real-time.

Analytics Tab on Contact List: KPI cards, Lifecycle funnel, and Source distribution
  • KPI Cards: Total Contacts · New in Period (with trend ▲/▼ vs. previous period) · Active · Contactable Rate (with email/phone).
  • Lifecycle Funnel: see where customers are dropping off or accumulating — from prospect to customer.
  • Distribution by Source, Status, Assignee: know which channel brings in customers, who has the most customers.
  • Data Health: percentage of contacts with email / phone number / assignee / company.
  • For Companies: distribution by industry, size, companies without associated contacts, and company pipeline summary.
💡 The dashboard refreshes automatically — the top right shows "Auto · updated HH:MM", you don't need to reload the page to see new data.

3. Action Suggestions — Turn Data into Actionable Tasks

The Analytics tab not only displays charts but also suggests the next actions. Each suggestion includes a quantity and a button that directly leads to a pre-filtered list of that specific customer group.

Action Suggestions panel leading to a pre-filtered contact list
  • "Contacts missing phone number / email" → open the correct group to add or import.
  • "Inactive for > 30 days" → group needs re-engagement.
  • "No assignee" → assign immediately.
  • "Stuck in a lifecycle stage" → group needs boosting.

4. 360° Activity Timeline

Each contact and company has an Activity tab displaying all relevant events on an easy-to-read timeline: calls, emails, deals, orders… along with the performer's name (instead of confusing IDs) and a clear action description in your language.

360° Activity Timeline on contact detail page
  • For Companies: the timeline also collapses and aggregates activities of contacts, deals, and orders belonging to that company.
  • At the list level: open the Activity tab to see a general feed of all contacts/companies, filter by person / action type / date.

5. Attach Files & Links to Tasks

Each Task in CRM can attach files from the Asset Manager (PDF, DOCX, XLSX, images, videos…) and external links (Google Sheets, Drive, Figma…). Opening a task shows all necessary documents — no need to search elsewhere.
