Feature Introduction

You're selling products, managing inventory, issuing invoices, and doing accounting on GTG CRM. But what about calculating employee salaries at the end of the month? It's still a separate Excel file, you still have to manually type in each line for social insurance and personal income tax, and you still have to manually copy the numbers to the accounting ledger. And every time the government changes the minimum wage or minimum wage rates, you worry that the software will make mistakes in your calculations.

That ends today.

GTG CRM has a complete Human Resources (HRM) — Payroll module: managing employee records, employment contracts, running monthly payrolls, and automatically generating balancing entries in the ledger each time payroll is finalized — right within the same system you use for sales and accounting. Payroll is calculated using a pre-built national dataset (default Vietnam: Social Insurance/Health Insurance/Unemployment Insurance + progressive personal income tax), and a key new feature: GTG provides pre-calculated legal figures with source citations, and you can view and adjust them to suit your specific situation — you control the final figures, not the black box.

Overview of the Human Resources & Payroll module

The Problems Businesses Are Facing

Calculating salaries in Excel, accounting on other software — Data entry 2-3 times, easily leads to discrepancies between salaries and book records.

Social insurance and personal income tax calculated manually using formulas — A single tax bracket error leads to discrepancies across the entire tax table, creating risks during final settlement.

Manually drafted employment contracts in Word — Each employee has to rewrite it, making it easy to miss clauses.

Payroll is finalized before recording "salary expenses" — Forgetting to record it, or incorrectly entering it into account 334/642.

Unaware of the software's current performance/threshold, unable to modify it — Legal changes or other circumstances → must wait for the vendor, lack of autonomy.

Employee records are scattered in many places — there isn't a single place that holds information, contracts, and salaries.

GTG CRM consolidates everything into a single data source: employees → contracts → payroll → accounting entries, automatically and seamlessly — no separate HR software, no double-entry.

Highlights

1. Employee Profiles & Single-Position Employment Contracts

Employee profile list
  • Complete employee profile : full name, job title, department, ID card/passport number, skills, experience, work history, seniority — and supporting documents for each individual.
  • Employment Contracts : Create contracts for each employee (contract type, duration, base salary, allowances). Each employee has a valid contract — the system is self-monitoring.
  • Drafting contracts using AI : Click "Create with AI" to generate a standard employment contract document (DOCX/PDF), automatically inserting company branding information; or upload a signed version.
  • Annual leave based on seniority , contract renewal/termination/additions — managing the entire contract lifecycle.
💡 Quickly import existing data : Already have a list of employees in Excel? Use bulk import with CSV to bring all personnel into the system in minutes.

2. Monthly Payroll — Automatically Based on Your Country's Standards

Details of a payroll period
  • One-touch payroll processing : The system calculates Gross Salary → Social Insurance/Health Insurance/Unemployment Insurance deductions → Personal Income Tax → Net Salary for each employee.
  • Pre-built national datasets : default to Vietnam (Social insurance calculated on full salary, progressive personal income tax rate, daily prorate calculation for mid-month entry/exit, regional minimum wage, and cumulative income from the beginning of the year for accurate tax calculation). Besides Vietnam, GTG also has pre-built payroll datasets for many other countries — just select the correct country and it will work.
  • Off-cycle pay , structured benefits, and reward decisions → a lump sum payment → paycheck — all within the same process.
  • Your payslip will be sent directly to your mailbox — employees will receive their payslip email from your company address, not some unfamiliar address.

3. Payroll Dataset — GTG Default Data Set with Quotes, You Control the Numbers (NEW)

This is a major change for your peace of mind. Previously, the legal figures (social insurance rates, thresholds, tax brackets, ceilings) were fixed — only the provider could change them. Now you can view and adjust them yourself directly in the Payroll Settings.

Payroll settings: list of legal items with default source citations, Edit and Reset defaults buttons.
  • By default, it includes citations and an effective year : each item displays the default GTG number along with the source and effective year (e.g., "Default GTG: X% — source ..., 2026"), so you know where you're starting from.
  • You can adjust it to your own situation : correct the rate, threshold, tier, and ceiling to match the company's actual situation; the next payroll period will use your figures.
  • Reset to defaults at any time : one click to return to the GTG level.
  • All changes are logged : who made the change, and what value was changed to — because this data directly affects actual salaries.
Edit an item: display the default GTG (source, year) and your value input field.
ℹ️ Why this is important : GTG doesn't "declare" a legal figure for you and then leave you to bear the consequences. GTG provides a transparent, cited, and editable default — you (or your accountant) are the one who views, adjusts, and controls the final figure, just like any professional payroll software operates.

4. Finalize Salary → Automatically Update to General Ledger

Automatic payroll expense entries are posted to the general ledger.

When you finalize a payroll, GTG CRM automatically posts payroll expense entries to the General Ledger — using the same accounting automation mechanisms that ran for invoices and payments.

  • The balancing entry is (Debit salary expenses / Credit payable to employees 334 + social insurance contributions). The personal income tax portion is deducted and accounted for separately when it arises.
  • You can view and adjust accounting rules — this is a workflow you own, not a black box.
  • Food supplies are held "pending" in account 334 until payment is made — in accordance with accounting principles.
  • You'll immediately see the journal entry in the workflow log and in the General Ledger/Journal Entry, exactly the same way an invoice is recorded.

5. Salary Scale & Personnel Decisions

Salary scale
  • Salary Scale : AI suggests salary levels based on position + minimum regional salary package + standard documentation; used as a basis for recruitment and job offers.
  • Decision on rewards/disciplinary actions/termination : create a decision document (global default template + standard Vietnamese template set).

6. Sensitive Access Control — Protecting Salary Data

Salary, bank account, and tax identification number are sensitive data. GTG CRM separates "viewing employee information" from "viewing salary information":

  • Users who only have access to the employee directory will not see salary/bank/tax information — these fields are hidden directly from the server, not just from the interface.
  • Two suggested permission groups are available: HR Manager (full access) and HR Viewer (contact list only).
  • Access logging : the system records who accessed payroll information — providing business owners with a trace for auditing purposes.

Payroll closing → automatic journal entry — Don't forget to record payroll expenses, make sure the account is correct.

One platform for HR + sales + accounting — Eliminates the need to purchase additional software, one place to cross-reference data.

  • SMB business owners want to manage human resources and payroll without purchasing separate HR software.
  • The Human Resources/Administration department needs a single place to manage records, contracts, and payroll.
  • Accountants want payroll expenses to be automatically recorded in the correct accounts and periods — and want to manually adjust the rates/thresholds to reflect actual costs.
  • Businesses operating in multiple countries need to pay salaries correctly in each location, using the same system.
