Terms and Conditions
Welcome to GTG CRM! Effective date: September 1, 2026. The following terms and conditions govern your use of the GTG CRM platform. By registering for or using the platform, you agree to comply with these terms.
1. Who this agreement is with, and what GTG CRM is
This agreement is between you (the business or individual creating a GTG CRM account, "you," "Customer") and whichever of the following is your contracting party, depending on how you pay:
- GTG CRM CO., LTD., a company registered in Ho Chi Minh City, Vietnam, if you pay via VNPay.
- GTG CRM, INC., a Delaware corporation, if you pay via Chargebee.
We refer to whichever of the two is your contracting party as "GTG CRM" or "we." GTG CRM is a business-operations software suite — your specific rights depend on your plan and the features you use.
2. Governing law and dispute resolution
This section follows the same split as §1 — which law and forum applies depends on your contracting party:
- If your agreement is with GTG CRM CO., LTD. (you pay via VNPay): this agreement is governed by the laws of Vietnam, and any dispute not resolved informally will be submitted to the courts of Ho Chi Minh City, Vietnam.
- If your agreement is with GTG CRM, INC. (you pay via Chargebee): this agreement is governed by the laws of the State of Delaware, USA, and any dispute not resolved informally will be resolved by binding arbitration, conducted in English, with a single arbitrator, rather than in court.
3. The service, and what it is not
- AI-generated content and documents (articles, images, video, contract/document drafts) are starting points you review before use. Contract/document generation specifically: GTG CRM generates a draft; it is not legal advice, and your business is responsible for reviewing it, including by your own counsel where appropriate.
- Automated e-invoicing, journal entries, and other statutory/financial documents your workspace configures GTG CRM to generate automatically remain your business's responsibility to review for accuracy and legal compliance in your jurisdiction.
- Tax-rate information and suggestions (the VAT rate options, the rule notes shown beside them, and AI suggestions of which option may apply to a product) are starting points. They may be incomplete or out of date and are not tax or legal advice. Your business decides each product's tax treatment and remains responsible for it, including by checking with your own accountant or tax adviser where appropriate.
- Messaging and advertising features (email, SMS, Zalo, social ads) require you to have a lawful basis to contact each recipient and to meet the rules of each platform you use (§6).
4. Payment, fees, and credits
GTG CRM's pricing is pay-as-you-go: you are billed through usage credits, charged for a defined list of usage-based operations, rather than for what you have access to. An optional recurring subscription charges you monthly or yearly and gives you a discount on credit pricing — a subscription does not by itself grant any user limit or included quota. Credits can be purchased with a subscription discount applied, or separately as a one-time credit pack with no subscription required. Credit-charged operations include AI features and metered third-party services, platform resource usage such as running an automation workflow, holding contacts in your CRM, publishing or hosting pages, ads, and social posts, and paid support requests (see the paragraph below). Most day-to-day actions (creating a deal, a task, a note, and similar core CRM/HR/accounting activity) are not part of GTG CRM's billable operations list and do not draw down credits.
Support requests: routine support — fixing a problem on our end, or helping you use the product — is always free. A support request that instead has our staff do a piece of your own business's work for you (for example, a guided onboarding call) is billed as a paid service: for a bounded, well-defined request, we show the exact credit cost, scaled to your country's economy, before you submit — you are never charged after the fact for these. For open-ended or bespoke work, we scope it and send you a price to review and approve, through a written quote, not through credits.
Not all charges are confirmed one at a time before they happen: some features show a price and ask you to confirm; others draw down your credit balance automatically without a per-instance confirmation — for example, a daily fee for each active ad campaign, credits consumed by an automation workflow's messages, or a single AI request that produces more than one result (for example, an answer plus a generated image), where each result is charged separately at its own price. Your control for these is your workspace's credit balance and the ad budgets you set on each ad platform; we show your current balance and usage in the product. When your balance runs out, we suspend credit-consuming features — which can include unpublishing your published websites and landing pages, and hiding your ad and social activity from your GTG CRM dashboard — rather than continuing to bill.
Hiding is not pausing: an ad campaign or social post you created through GTG CRM keeps running on the connected platform (Facebook, Google, etc.) and continues spending from your own ad account until you pause or remove it directly on that platform — suspending your GTG CRM balance does not stop that spend. A small negative-balance allowance applies before suspension takes effect. Suspended features are restored when you top up.
A GTG CRM fee is never the same fee as a fee charged by a service you connect your own account to. Some features work by connecting your own account with an outside provider — for example, accepting a card-present payment through your own Stripe account via a connected card reader. Where that's the case, GTG CRM's own credit fee for that feature is a separate charge from whatever the provider bills you directly under your own agreement with them; the two charges stack, and paying one does not reduce or replace the other.
We do not store your full payment card number. Our payment provider returns an already-masked number (for example, "497010******1111"); we retain that masked number along with the card type, expiry, and issuing bank for display and reference — never the full, unmasked number.
Fees already paid are non-refundable, except as required by law or stated otherwise in writing.
5. Data ownership and portability
Your business retains ownership of the data you put into GTG CRM. We do not sell your business data. Self-service export is available today for accounting reports, your chart of accounts, inventory counts, and documents (a full download); invoices and contracts can be downloaded individually, one record at a time; a manufacturing lot's recall-traceability data and a finalized payroll run's bank-disbursement file can also be exported individually.
Workspace data export. An owner of a workspace can also download a copy of the workspace's business data from Settings → Export Workspace Data. The copy is one ZIP file of spreadsheets (CSV files), with a README and a list (manifest.csv) of the files in it, the number of rows in each, and what was left out. It covers the records your workspace holds in areas such as contacts, companies, deals, products, orders, bookings, inventory and purchasing, suppliers, employees, recruitment and payroll, accounting and the ledger, contracts, banking and payments, point-of-sale and food-and-beverage, and manufacturing. It does not include: the employee details we store encrypted (tax number, social-insurance number and bank-account number); the contents of files you uploaded (it lists the names of some documents, and only if your workspace has any); the accounts and saved addresses of people who buy from your online shop; data kept in other parts of GTG CRM, such as messages, support tickets, call records, automation runs, bank connections, AI conversations, website-visitor data and e-invoices held with your e-invoice provider; a few other kinds of records that manifest.csv lists as not included yet; records you have deleted; credentials and secrets, which are left out; and some columns of some files, which the manifest names.
The copy is made while your workspace keeps running, so it is not a snapshot: a record created or changed during the export can appear in one file and not in another. Text that a spreadsheet could mistake for a formula (for example, text beginning with = or @) is prefixed with an apostrophe; numbers and dates are left as they are. This is a copy for your convenience. It is not your statutory accounting or payroll record, it does not replace the reports in Accounting or the records the law requires your business to keep (see Privacy Policy §9), and e-invoices held with your e-invoice provider are not in it.
Only an owner can start or download an export. The file is kept in private storage. The file can be downloaded for 7 days after it is made and is then removed, or it is deleted sooner if the workspace is deleted. The download link is created each time an owner clicks Download and works for only a few minutes. We limit how often an export can be started and how large one file can be; if your data is too large for one file, the export stops and tells you so. An export can fail, and we do not promise that an export will finish or how long it will take (see §10).
The file contains personal data of your own customers, employees, applicants and contacts. After you download it, it is outside our systems, and you are responsible for storing, sharing and deleting it lawfully and securely (see §6).
Data the export does not include. You can ask us in writing, at support@gtgcrm.com and from an owner's email address, for data the export does not include; tell us which data you need. We will tell you what we can provide and in what form.
6. Your obligations
- Provide accurate account information and keep your credentials secure.
- Use GTG CRM lawfully — no spam, no unlawful content, no infringing third-party rights.
- Messaging recipient eligibility: you are responsible for having a lawful basis to contact each recipient and for meeting the conditions of each messaging platform. For Zalo specifically, Zalo's own terms require that the recipient has previously transacted with your business, and that you can produce evidence of that relationship on request. GTG CRM provides technical safeguards on the automated-workflow and Zalo messaging paths specifically — honouring marketing opt-outs on the messages we generate, and limiting how many messages may be sent to one recipient within 24 hours. These safeguards support your compliance; they do not replace the responsibility above and are not a confirmation that your recipient list is lawful. Bulk email campaigns you send directly do not currently have an equivalent per-recipient sending limit, so the responsibility above applies with particular weight there.
- Call recording: if you enable call recording, you are responsible for disclosing this and obtaining consent from every participant, as required by the law of the relevant jurisdiction. GTG CRM plays an automated notice as a technical aid; the underlying legal obligation to obtain valid consent is yours.
- You are responsible for your own compliance obligations toward your customers, employees, and contacts whose data you process through GTG CRM.
- A workspace has more than one person in it. "You"/"Customer" means the business that owns the workspace, not only the individual who signed up — your business is responsible for the actions of everyone it gives access to the workspace.
7. AI processing — your consent to it
By using GTG CRM's AI-assisted features, you consent to the relevant content being processed by our AI service providers as described in our Privacy Policy. If you enable the AI chatbot on your own published website, you are responsible for your website giving your visitors appropriate notice of this.
8. Intellectual property in AI-generated output
Content an AI feature generates on your behalf (an article, image, video, or contract draft) belongs to you for your own use. This matches our AI providers' own terms: OpenAI, Google, and Anthropic each explicitly assign or disclaim any ownership interest in output generated through their APIs. One limit worth knowing about, not specific to GTG CRM: under current US copyright law, purely AI-generated content generally cannot be copyrighted at all (it lacks the human authorship copyright law requires), so this section describes who we treat the content as belonging to between us and you — it doesn't create a copyright that may not otherwise exist.
9. Liability
Service is provided "as is." To the extent permitted by law, GTG CRM is not liable for indirect, incidental, or consequential damages, and GTG CRM's total liability arising out of or related to this agreement will not exceed the greater of (a) the amount you paid us in the 12 months before the claim arose, or (b) 100 USD (or the VND equivalent, for agreements with GTG CRM CO., LTD.).
10. Service levels
No platform uptime SLA is offered under these terms today. Support-response commitments, where purchased separately, are governed by the applicable managed-services contract, not by this agreement.
11. Termination
Either party may terminate as described in your order form or plan terms.
Account inactivity and deletion. If a workspace's credit balance is negative for 3 consecutive months, we will notify the workspace owner by email. If the balance has not been brought back to zero or above by the end of that notice period, the workspace and all of its data — including any connected third-party account links (social media, advertising, e-commerce, banking, and similar integrations) — are deleted automatically, and this cannot be undone. This applies to every workspace on this basis, whether or not it has ever made a paid purchase. Deleting a workspace is permanent and we cannot restore it afterwards, so make your own copy of anything you need to keep before then (see §5 for what you can export yourself and what we provide on request, and Privacy Policy §9 for records you may be legally required to keep).
Deleting a workspace at your request. A workspace owner can ask us to delete the workspace from the workspace settings. We do not delete it at once: we schedule the deletion for 30 days later, we show the owner the date, and we do not carry the deletion out before the scheduled date and time unless an owner brings it forward as described below. The scheduled time can fall at any hour of the day shown. When the deletion is scheduled we set any recurring subscription to end at the end of its current period and we take steps to cancel any recurring credit top-up plan; fees already paid stay non-refundable as described in §4. Until the scheduled date we do not remove any of the workspace's data, and any owner can cancel the deletion at any time until it is carried out. Cancelling keeps the workspace and its data as they are. It does not undo what was done to your billing when the deletion was scheduled: a credit top-up plan stays cancelled, and a subscription still ends at the end of its period, so you will need to choose a plan to keep using paid features. If the subscription had already ended when the deletion is cancelled, the workspace waits for a plan to be chosen, and until then only the primary owner can enter it. An owner can also download a copy of the workspace's business data before the deletion is carried out (§5).
We email every owner when the deletion is scheduled and again shortly before the date, and everyone who can open the workspace sees a notice with the date; we do not carry the deletion out until the first email has been sent to every owner other than the owner who scheduled it. Privacy Policy §10 says who else is told. An owner can ask for the deletion to be brought forward ("Delete now"). This is available only after an initial waiting period, needs the workspace's name to be typed, and takes effect after a further short delay; every owner is emailed straight away, and any owner can cancel during the delay.
We do not carry out a scheduled deletion on its date if the owner who scheduled it is no longer an owner of the workspace, or if a new plan has been bought for the workspace since it was scheduled. We then email the owners, and if the deletion still cannot go ahead after a further period, we end the request: the workspace stays as it is, and an owner who still wants it deleted must schedule it again. Once a deletion has been carried out it is permanent and we cannot restore it.
When a workspace is deleted, we also take reasonable steps to disconnect any third-party accounts you connected to it. We do not control what a third-party service does with data it already received before disconnection. A domain name registered through us on your behalf is not released immediately; we stop automatic renewal and review the domain individually before any further action.
On termination, before a scheduled deletion is carried out, or before automatic deletion, you can request a copy of your data as described in §5; neither a request for a copy nor a workspace data export (§5) pauses a scheduled deletion (if you need more time, cancel the deletion). Deletion does not affect any data we or our sub-processors are independently required to retain by law.
12. Changes to these terms
Versioned, dated, prior versions retained; material changes get advance notice.
13. Usage and Service Data
In addition to processing your workspace's business data as described in our Privacy Policy, we derive limited, non-content usage signals from how your workspace is used — for example, how many business records (such as contacts, orders, or invoices) your workspace has created since it was set up, and how often your workspace is active. We do this as the controller of this specific usage data (this is separate from our role as a processor of the business data you put into your workspace, described in §3 of our Privacy Policy) — GTG CRM is the controller for this processing — for the purpose of operating, securing, and improving the GTG CRM platform, and for our own account management and customer-success outreach with your business specifically.
For this purpose only, a small number of individually authorized GTG CRM staff may also view a masked, day-by-day summary of the type and timing of records created or changed in your workspace. This view never shows the name of a record about a person (for example, one of your own customers or employees), and never shows the name of any team member other than your workspace's own designated owner.
We do not use this usage data for any purpose beyond the above, do not share it outside GTG CRM, and do not publish it. You may ask us at any time what usage data we hold about your account, request that it be deleted, and object to the account-management outreach described above (doing so stops any further outreach based on it) by contacting us at support@gtgcrm.com.
Your rights as a data subject: (a) to be informed about the processing of your personal data; (b) to give or refuse consent to the processing of your personal data, and to request withdrawal of that consent; (c) to view or amend your personal data, or to request its amendment; (d) to request that your personal data be provided or deleted, or that its processing be restricted, and to submit a request objecting to its processing; (e) to complain, to denounce, to bring a lawsuit, and to claim compensation for damage, as provided by law; and (f) to ask the competent authority, or any organization or individual involved in processing your personal data, to take measures to protect it, as provided by law. To ask us to withdraw your consent, to restrict or object to the processing of your personal data, to view, amend, provide or delete it, or to take measures to protect it, send us a written request (including in electronic form, such as email) at support@gtgcrm.com. We respond within the time limits set by law and handle these requests in accordance with applicable law. Withdrawing consent or restricting processing does not apply to processing carried out before your request.
Your obligations as a data subject: (a) to protect your own personal data (for example, by keeping your account credentials secure); (b) to respect and protect the personal data of others (for example, personal data about your own customers, employees, and suppliers that you store in your workspace); (c) to provide complete and accurate personal data about yourself as required by law, under a contract, or when you consent to its processing; and (d) to comply with applicable personal data protection law and to take part in preventing and combating personal data protection violations.
For customers in Vietnam: Vietnam's Law on Personal Data Protection No. 91/2025/QH15 (adopted by the National Assembly on 26 June 2025, in force from 1 January 2026) provides in Điều 9 that consent is valid only if it is voluntary and the person clearly knows: the type of personal data processed and the purpose; the controller; and the data subject's rights and obligations ("các quyền, nghĩa vụ", Điều 9, clause 2, point (c)). Consent must be given for each purpose, and silence or a lack of response is not consent (Điều 9.4). This section, together with §17 of our Privacy Policy, tells you those things for this processing. For accounts in Vietnam, we record your agreement through a one-time screen shown after you sign in.
